Job Title: Maintenance and Facilities Coordinator

Role Purpose 

 

The Maintenance and Facilities Coordinator is responsible for the effective management and upkeep of the company's physical assets, including buildings, machinery, vehicles, and associated infrastructure. The role ensures operational efficiency through proactive maintenance, timely repairs, contractor oversight, and continuous improvement initiatives. A key focus area includes building internal technical capabilities by training staff on routine machine care and maintenance. 

This position reports directly to the Managing Director and is expected to work closely with cross-functional teams and manage support staff to deliver all responsibilities effectively. 

 

Key Responsibilities 

 

1. Facilities & Building Maintenance 

  • Oversee maintenance and repairs of all building systems, including electrical, HVAC, plumbing, roofing, gutters, and generators. 

  • Ensure cleanliness and hygiene of all facilities meet acceptable operational standards. 

  • Monitor and maintain building security systems, fire alarms, and emergency response infrastructure. 

 

 

2. Machinery, Equipment & Vehicle Maintenance 

  • Develop and implement a preventive maintenance schedule for machinery, tools, jigs, and templates. 

  • Minimise production downtime by responding promptly to equipment breakdowns. 

  • Oversee the maintenance, servicing and licensing of forklifts and company vehicles. 

  • Maintain effective dust extraction systems and ensure factory dust levels are within safety and compliance thresholds. 

  • Interpret technical drawings and specifications for maintenance, repairs, or modifications. 

 

 

3. Training & Upskilling 

  • Design and deliver training programs for production staff on basic machine maintenance and daily care procedures. 

  • Develop easy-to-use checklists, guides, and visual aids to support routine operator maintenance. 

  • Digitally manage maintenance records, training logs, and operator checklists. 

  • Promote a culture of ownership and care for equipment across the organisation. 

  • Monitor compliance with assigned maintenance tasks across production teams. 

 

 

4. CAD & Infrastructure Planning 

  • Use CAD software (e.g. AutoCAD) to maintain accurate and up-to-date infrastructure drawings, including layouts for electrical, plumbing, and safety systems. 

  • Support planning and execution of facility upgrades, space utilisation, and equipment installations. 

  • Maintain a digital archive of all technical and infrastructure documentation. 

 

 

5. Health, Safety & Environmental Compliance 

  • Collaborate with internal and external Health & Safety teams to ensure full compliance with equipment and facility safety protocols. 

  • Conduct routine inspections of fire extinguishers, emergency lighting, and evacuation routes. 

  • Support waste management initiatives, environmental compliance, and safe disposal practices. 

 

 

6. Contractor & Utility Management 

  • Manage relationships with service providers and contractors (e.g. HVAC, plumbing, electrical, alarm services). 

  • Schedule and supervise outsourced maintenance or repair work, ensuring quality standards are met. 

  • Ensure contractor compliance with service contracts, SLAs, budgets, and safety requirements. 

  • Monitor and report on utility usage (electricity, water, diesel) and identify efficiency opportunities. 

 

 

7. Asset & Capital Management 

  • Maintain and update the company’s asset register for all equipment and infrastructure. 

  • Provide input into capital planning for equipment upgrades or replacements. 

  • Participate in internal and external audits, inspections, and risk mitigation efforts. 

 

 

Key Competencies & Attributes 

  • Solid technical knowledge of mechanical, electrical, and infrastructure systems. 

  • Hands-on experience with industrial machinery, tools, and maintenance processes. 

  • Strong ability to convey technical information to non-technical staff. 

  • Organised and detail-oriented, with excellent planning and follow-up skills. 

  • Effective at managing contractors, suppliers, and service agreements. 

  • Proficient in Microsoft Office. 

  • Proficient in CAD (AutoCAD or similar) for infrastructure and layout planning. 

  • Competent in interpreting engineering drawings, equipment manuals, and technical specifications. 

  • Commitment to safety, quality, and continuous improvement. 

  • Strong leadership and coordination skills with the ability to manage direct reports effectively. 

  • Strong work ethic with a proactive attitude. 

  • Adaptable and willing to take on new challenges as they arise. 

  • Positive, enthusiastic and motivated to contribute to the success of the team. 

  • Ability to work independently as well as part of a team.
